Using Templates

7. Click on the Finish button to complete the process of creating a presentation by using the Wizard
A presentation window as shown in Figure 1.8 is displayed.

Template is a file that contains formatting styles, text, pictures, etc. Presentations can be based no these templates, For example, a business presentation can be based on a business template. A presentation based on a template inherits  the properties of text, bullets, pictures, orientation, background, color scheme, etc from the template, The presentation can then be altered to suit the requirements of an individual. Thus, the template helps to accomplish the base work for creating a presentation.
The steps to create a presentation using the design template are:
1. Select the Design Template option  from the PowerPoint dialog box .
The New presentation dialog box is displayed as shown in Figure 1.9

In the New Presentation dialog box, you can select one of the following tabs:
¾ General ___ offers the option of creating a blank presentation.
¾ Design Template __ contains professionally designed templates based on which you can frame a presentation. Etch presentation design includes a color scheme, graphic elements, background and a slide with complete text formatting.  
¾ presentations – contains many pre-defined templates designated by a type of presentation .These include color  schemes, font formatting and slide layouts with suggestions for slide layout .
2.Select a presentation template from the Design Templates tab
3.Click OK
The New Slide dialog box is displayed as shown in Figure 1.10
4.Select the type of slide that you want to insert from the Choose an Auto Layout section
5.Click ok  
The slide is inserted with the selected design template .

Entering and Editing text
The steps to open an existing presentation are:
1.      Select the open from the File menu Alternatively, you can also click on the Open button on the Standard toolbar. The Open dialog box is displayed.
2.      Select the name of the file and click on the Open button The presentation is opened.  The steps to insert bulleted text that is italicized in a slide are:
1.     Click on the slide title, which reads Click to and title (refer Figure 1.1)

The text, Click to add title, disappears and is replaced by a cursor.
2.     Type a title
3.     position the mouse pointer inside the placeholder, which reads Click to add text and click on the mouse button. The bullet item text, Click to add text, disappears and is replaced by a cursor.
4.     Type the text at the bullet point, and press the Enter key . This adds a second bullet point, followed by a cursor.
5.     Type the text
6.     Repeat steps 4 and 5 until you have added all the points for the slide
7.     Click anywhere outside the text block to view how the text will look on the slide ( refer Figure 1.12)

Starting PowerPoint

 Starting PowerPoint  

          The steps to tart PowerPoint are:
1.      Click on the start button located at the bottom left comer of your desktop
2.      Select the programs option from the start menu
3.      Select the Microsoft PowerPoint option from the programs submenu
The PowerPoint dialog box is displayed as  shown in Figure 1.1

The five options in the PowerPoint dialog box are :
¾ AutoContent Wizard ___ guides you through a series of dialog boxes for creating a new presentation .
¾ Design Template ___ allows you to use built-in designs that contain color schemes and design elements, which provide a background for a slide.
¾ Blank presentation __ opens a presentation, which has no elements or design background in place.
¾ Open an existing presentation ___ opens an open dialog box to locate a PowerPoint file that has previously  been saved.
¾ Don’t show this dialog box ageing ___ disables the display of this dialog box when you restart PowerPoint.

Creating a Blank Presentation
The steps to create a blank presentation are:
1.            Select the Blank presentation oprtion from the PowerPoint opening dialog box
The New slide dialog box is displayed as shown in Figure 1.2

This dialog box displays various types of Auto layouts or placeholders to enter slide contents. These placeholders include title, bulleted  lists, ClipArt, organization charts, movie clips and charts.
2.            Select a suitable layout is displayed.
3.            Click Ok
          The blank slide with the selected layout is displayed.
Creating a Presentation Using the AutoContent Wizard are:
1.     Select AutoContent Wizard option from the PowerPoint dialog box
2.     Click Ok

The AutoContent  Wizard dialog box is displayed shown in Figure 1.3

On the left side of this dialog box is list of steps that the Wizard helps you go through. You can navigate through the items in the list by selecting the Next or the Back buttons. 
3.     Click Next
A dialog box as shown in Figure 1.4 is displayed.

In this dialog box, you can select the category of the presentation to be created. When you select a button by Clicking on it, the presentation types within that  category are listed to the right of the button . If you want to see all the presentation types in the list, select the All button.
4.     After selecting the presentation type, Click on the Next button to proceed
A dialog box as shown in Figure 1.5  displayed.

This dialog box allows you to designate the medium on which you will generate the presentation.
5.     Click Next.
A dialog box as shown in Figure 1.6 is displayed.

This dialog box allows you to enter some information for the presentation, including the presentation title and the items to be included on each slide like the last pupation date and the slide numbers.
6. After entering this information, Click on the Next button The dialog box as shown in Figure 1.7 is displayed.

Microsoft PowerPoint

Microsoft PowerPoint is a component  of Microsoft Office that is used to create professional quality on-screen presentations, photo print, overhead transparency, or 35 mm slides. PowerPoint components can be used to work on slides, generate speaker notes, audience handouts and organize presentation contents. A slide is a working desktop area and a presentation is a term used for a set of PowerPoint slides.

PowerPoint allows you to create the contents of your presentation by typing the text, and inserting pictures, sounds and animation. It also provides galleries of images and sounds. PowerPoint makes the creation of any presentation simple by providing you with but-in professional design elements such as Auto Layouts and presentation templates. You can also create different versions of a presentation for different audiences and build your contents in either a text-based outline view or a design -based slide view. PowerPoint offers you a way to preview your show, add special effects of the slides as displayed on the screen and rehearse the timings of each slide.

PowerPoint 2012 now has several new features for creating presentations and integrating them with other Office applications. You can preview and insert slides from another presentation. Animation charts and enhanced custom animation effects allow  you to create moving effects in your presentation. Presentations may be controlled from one  computer and be shown on another.  

Office assistant is a help feature the enables you to type your question about PowerPoint in plain English and display a list of topics a list of topics related to it. To get more help on the topic, you can select the required topic, by clicking on it.  It also displays help about the current operation being performed by you.  

Common Tasks toolbar offers some of the most common functions that are performed while working on slides, like creation of a new slide, modification of the layout of a slides and application of being elements.

Graphics File Formats
PowerPoint enables you to insert many types of graphic file formats in your presentations, such as:
JPG__ Joint  Photographic Expert
WMF __ Windows Metafile
GIF___ Graphics Interchange Format 

Action Buttons
Action Buttons includes a set built-in 3 –D buttons for actions like moving forward and back in a slide show, and displaying help and information on the required topic. You can click on these buttons during a slide show to start  another program, play a sound or a movie, or link to other slides, files, and Web pages.
